Position Overview: We are seeking a highly organized and self-motivated Virtual Assistant to provide administrative support remotely. The ideal candidate will be detail-oriented, proactive, and able to handle a variety of tasks efficiently. As a Virtual Assistant, you will assist with daily operations, coordinate schedules, manage communications, and perform other administrative tasks to ensure the smooth functioning of our organization.

Key Responsibilities:

  • Email Management: Monitor, sort, and respond to emails on behalf of the team or executives.
  • Calendar Management: Schedule and organize meetings, appointments, and events, ensuring no scheduling conflicts.
  • Data Entry & Management: Input, update, and maintain data in spreadsheets, databases, or management systems.
  • Payment Collection: Monitor outstanding accounts, contact customers to follow up on overdue invoices, and work to ensure timely payments are received.
  • Collections: Coordinate with internal teams or external collection agencies to handle long overdue accounts, following company policies.
  • Communication: Handle customer inquiries via email or phone and direct them to the appropriate person or department.
  • Document Preparation: Draft, edit, and proofread documents such as reports, presentations, and emails.
  • Social Media Management: Assist with scheduling and posting on social media platforms, as well as responding to messages or comments.
  • Task Management: Help prioritize and manage daily tasks, ensuring deadlines are met.
  • General Administrative Support: Provide general administrative and operational support to the team or executives, as needed.

Skills and Qualifications:

  • Proven experience as a Virtual Assistant or in an administrative role.
  • Strong written and verbal communication skills in English.
  • Proficient in using office software (Microsoft Office, Microsoft Excel, Google Suite) and task management tools.
  • Ability to multitask and prioritize tasks effectively.
  • Highly organized with strong attention to detail.
  • Tech-savvy and able to quickly learn new software and systems.
  • Self-starter with a strong work ethic and ability to work independently.
  • Reliable internet connection and access to necessary work tools.

Preferred Qualifications:

  • Experience with social media management tools or CRM software.
  • Basic graphic design or content creation skills.
  • Previous experience in customer service or project management.

Preferred legal status:

  • Green card holder or US Citizenship
