We will be happy to welcome you on board as our new Office Manager & HR Support - the person who keeps the everyday life of our office running smoothly and works closely with our HR Manager to support the people behind ISD.
It's a hands-on role with real ownership: you'll be the first point of contact for employees and vendors, the person who keeps the office running well, and a reliable extra pair of hands for our HR and Finance teams.
What are you going to do?
You will be involved in several administrative and clerical tasks, including daily office needs, general administrative activities, and assistance to the HR Manager. In practice, this means:
Office management - maintaining the appearance of common areas, identifying and fulfilling supply needs, staying in touch with vendors, and coordinating food delivery as needed;
Main point of contact - for employees and suppliers, while also keeping the office inventory under control;
Budget - managing the office budget, and supporting weekly payments through the banking system and/or the company credit card;
Workplace environment - managing layout and decorations, monitoring housekeeping, maintaining the office condition, and arranging necessary repairs;
Promo materials - coordinating the entire process end to end, from design approval to quality checks and on-time delivery;
Onboarding & Offboarding - getting involved in onboarding and exit processes;
Travel support - supporting colleagues who travel onsite and to clients;
Internship programs - managing the internal side of ISD's internship programs;
Internal events - organizing internal corporate events such as the summer teambuilding, the kids' party, the Christmas corporate event, and other internal events throughout the year;
Internal communication - announcing company updates, handling internal communication, and managing correspondence and filing systems;
HR support - providing ongoing support to the HR team, including HR documents and the attendance and timesheet records.
