We are hiring: Project development/Communication Officer - Chisinau
Under the direct supervision of the Project Development Manager, the Project Development/Communication Officer will work in a transversal role, supporting the grant management and project development team, as well as leading the communication of the country office projects, in collaboration with the Project Managers and the implementation team. PD/CO will support the PDM and the team in the drafting and finalization of grant management documents, donor-related documentation, strategic papers; and partners’ engagement. (S)he will work as the focal point for communication matters, including the creation of written and visual content, the design of material for programme’s purposes and in support of the organization of events. Finally (s)he will oversee the coordination with the HQ and both local and international partners with regards to communication planning.
Requirements:
- Fluency in both Romanian and English;
- Experience in the humanitarian and development context;
- Experience in participating in brainstorm meetings;
- Understanding of donor’s contractual requirements;
- High level communication skills both speaking and writing;
- High level IT literacy, particularly MS Officer Package;
- Proficient understanding and use of Design tools (Adobe Package, Canva, etc.).
Functions:
Project Development:
- Draft and Finalize agreements, in coordination with the country office departments and partners, ensuring follow-ups, timely responses, and quality feedback.
- Support the preparation and coordination of meetings, both internally and externally, including collecting information, preparing presentations, moderating event’s sections and taking notes.
- Participate in brainstorm meetings and contribute with reliable data collection and information sharing to strategic planning exercises.
- Maintain high quality communication between the PD team and other office departments, particularly regarding donor related issue, reporting, and project development to ensure smooth coordination.
- Support the development of the organizational templates to ensure alliance with the various project’s priority and guidelines.
- Contribute when required to the development of fundraising documents (Expression of Interests/concept notes/proposals) in line with ACTED country strategy and donor requirements and in close collaboration with ACTED HQ GMU (Grant Management Unit) and finance;
- Support the writing of quality narrative reports reflecting the progress and status of projects in a transparent, timely and professional manner.
- Support the PDM in the preparation of weekly and monthly briefings to share internally and to the HQ, as well as of strategic documents such as presentations and advocacy material.
- Contribute to regular mapping exercises and support the constant update of information on donors and (potential) partners.
- Ensure accurate filing of project documentation, including agreements, Concept notes, reports, meeting minutes, strategic analyses and tools, correspondences, and administrative files.
- In the absence of Technical Coordinators, Project Managers, participate in key clusters and/or working group meetings and share the minutes with relevant departments.
Communication:
- Oversee the projects’ communication plan and align content creation to project’s needs and specificities.
- Laise with the implementation teams to ensure alignment with donor guidelines in terms of communication requirements and react properly in case adjustments are needed.
- Coordinate with partners aiming to establish a proper comms plan in consortium and ensure right application.
- Facilitate communication channels among partners and moderate coordination meetings.
- Support the organization of events, in person and online, namely regarding the production of material (in soft and hard copy)
- Design banners, leaflets, posters, shopping bags, and several other communication and advocacy itmes.
- Join donor visits, partners visits and monitoring visits to regular collection of information and pictures from the field aiming to prepare new comms content (social media content, website, success stories)
- Manage Acted Moldova social media (Facebook, Instagram, Twitter, etc.) aiming to ensure regular external communication to promote Acted’s mandate, activities and services
- Write human success stories, in line with donors’ requirements, and promote Acted achievements to the public.
- Contribute to Acted external communication strategy by feeding regularly Acted HQ with informal updates on projects, a flash news, fact sheet, pictures, articles on project progress and/or specific events for Acted communication tools, including, but not limited to, Acted Newsletter, websites and Acted Annual Report.
- Raise awareness towards the entire mission to make sure Acted visibility guidelines and communication strategies are respected.
- Prepare order forms for comms related requests (e.g. banners, leaflets, posters, etc.)
- Ensure a proper management and use of comms assets and stocks.
