Position Overview:

We are seeking a skilled Office Administration and Timekeeping Specialist to join our team. The ideal candidate will be responsible for managing office staff, maintaining accurate time sheets for all employees, tracking working hours, and creating bills for customers and other administrative tasks related to office management.

Key Responsibilities:

Office Staff Management:

  • Supervise and coordinate activities of office staff.
  • Conduct training sessions and workshops for staff when necessary. Ensure that office operations run smoothly and efficiently.

Timekeeping and Attendance Management:

  • Maintain accurate records of employee work hours.
  • Monitor attendance and address any issues or discrepancies.
  • Generate reports on employee attendance and hours worked.

Billing and Invoicing:

  • Create and send bills and invoices to customers.
  • Process payments and follow up on outstanding invoices.
  • Coordinate with accounting department for billing-related tasks.

Administrative Support:

  • Provide general administrative support to the office as needed.
  • Assist with scheduling appointments and meetings.
  • Handle incoming and outgoing correspondence.

Data Management:

  • Organize and maintain electronic and paper files.
  • Update and manage databases related to office operations.
  • Ensure data accuracy and confidentiality.

Customer Service:

  • Respond to customer inquiries and resolve issues in a timely manner.
  • Maintain positive relationships with customers and clients.
  • Address customer complaints and escalate as needed.

Qualifications:

  • Bachelor's degree in Business Administration, Office Management, or related field (preferred).
  • Proven experience in office administration, timekeeping, and billing/invoicing.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in MS Office Suite and office management software.
  • Attention to detail and accuracy in record-keeping.
  • Ability to work independently and collaboratively in a team environment.
  • Knowledge of basic accounting principles is a plus.
